Ad hoc Room Rental Agreement
Parties. This Room Rental Agreement (“Agreement”) is between Illuminated Thinking (“Licensor”) and the Licensee.
Premises. Rooms at Illuminated Thinking within Mearns Castle Golf Academy, Waterfoot Road, Glasgow, G77 5RR.
Payment & Deposits
- Room hire is payable at time of booking.
- A £60 deposit is required to hire rooms.
- Rooms are licensed on a temporary, non‑exclusive basis and do not create a tenancy.
Use of Premises & Equipment
- The Licensee supplies their own specialist equipment, consumables and admin items.
- The Licensor is not responsible for loss or damage to these items but will take reasonable steps to keep them safe.
- All centre furniture and items remain the property of the Licensor and must not be removed.
- Rooms must be left as found; please switch off lights and heating on departure.
Safety, Insurance & Compliance
- The Licensee is responsible for the safe provision of their services, including all required insurances, indemnities and registrations.
- Public liability insurance of at least £5,000,000 must be maintained and provided on request.
- Comply with all health & safety laws and register with the local council if required.
- Comply with fire safety (know the exits and procedures).
Confidentiality & Data Protection
- Maintain confidentiality of any private or sensitive information encountered.
- Comply with all relevant data protection laws.
Damage & Liability
- The Licensee is responsible for reasonable costs to repair or replace damage to the room or contents directly caused by their negligent or intentional acts.
- Neither party is liable for failure to perform due to events beyond reasonable control (force majeure).
Facilities & House Rules
- Free on‑site parking; observe all restrictions.
- Kitchen facilities available; toilets past reception; café on‑site.
- You may advertise your work as being located within “Illuminated Thinking, Mearns Castle Golf Academy”.
Timing
- Do not enter the room before your session start time. Set‑up time is included within your booking.
- Please vacate the room at or before the agreed finishing time.
Cancellations & Refunds
- No refunds or discounts for Licensee absence (including bank holidays).
- Cancelling with > 24 hours’ notice: paid bookings are refunded via Stripe to the original payment method.
- Requests made within 24 hours are non-refundable unless agreed by the Licensor at their sole discretion.
Licensor Rights
- Bookings may be cancelled for renovations/unforeseen circumstances with at least 4 weeks’ notice where possible (or as soon as practicable in emergencies).
- Allocated rooms may be changed or an equivalent provided; the Licensor will endeavour to give 48 hours’ notice.
- The Licensee may not assign room time to external practitioners without written consent.
- Immediate termination for non‑payment, breach, insolvency or termination of the Licensor’s lease.
- License fee may be amended with 3 months’ written notice.
- Equipment, decoration, furniture and fittings may be changed as needed.
- The Licensor may terminate without notice for behaviour that is inappropriate, unethical, unlawful or endangering others.
Disputes
Disputes will be resolved amicably; if unresolved, mediation will be sought before legal action.
