Overview. This Room Rental Agreement (“Agreement”) is entered into between Illuminated Thinking (the “Licensor”) and the practitioner (the “Licensee”).

Premises. Rooms at Illuminated Thinking within Mearns Castle Golf Academy, Waterfoot Road, Glasgow, G77 5RR.

Payment and Deposits. Room hire is payable at the time of booking and a £60 deposit is required to hire rooms at Illuminated Thinking. The deposit will be held against potential damages or breaches of this Agreement and will be refunded within 14 days of termination, subject to any deductions for reasonable costs incurred. Rooms are licensed on a temporary, non‑exclusive basis and do not create any tenancy or security of tenure. Nothing in this Agreement constitutes a partnership, joint venture or employment relationship between the Licensor and the Licensee. The Licensee is an independent practitioner responsible for their own professional conduct, record-keeping, data protection compliance, and tax obligations.

Licensor rights to cancel/alter. The Licensor may cancel bookings to facilitate renovations or for unforeseen circumstances. Where possible, a minimum of four weeks’ notice will be given, or as soon as practicable in emergencies. The Licensor may change the allocated room or provide an equivalent alternative and will endeavour to give 48 hours’ notice.

Use of premises & equipment. The Licensee must supply their own specialist equipment, consumables and administrative items. Whilst the Licensor is not responsible for loss or damage to these items, the Licensor will take reasonable steps to help keep them safe. All centre furniture and items remain the property of the Licensor and must not be removed. The room must be left as found and lights/heating switched off on departure. Noise levels must be kept to a minimum, and the Licensee must ensure that their activities do not disturb or compromise the privacy of other users of the premises.

Safety, insurance & compliance. The Licensee is responsible for the safe provision of their services, including holding appropriate insurances, indemnities and registrations. Public liability insurance with a minimum coverage of £5,000,000 must be maintained and provided on request. The Licensee shall comply with all health and safety laws and, where required, register with the local council. Fire safety procedures must be followed, including familiarity with exits and evacuation routes.

Confidentiality & data protection. The Licensee agrees to maintain confidentiality regarding any private or sensitive information encountered while using the premises and to comply with relevant data protection laws.

Damage & liability. The Licensee is responsible for the reasonable cost of repairing or replacing any property damage to the room or its contents directly caused by the Licensee’s negligent or intentional acts during the agreed session. Neither party is liable for failure to perform due to events beyond reasonable control (force majeure).

Facilities & house rules. Free on‑site parking is available and all restrictions must be observed. Kitchen facilities are available; toilets are located past reception; a café is on‑site. The Licensee may advertise their work as being located within “Mearns Castle Golf Academy”.

Timing. The Licensee shall not enter their room before the designated start time of their session; set‑up time is included as part of the booking. The Licensee agrees to vacate the room at or before the agreed finishing time.

Cancellations & refunds. There are no refunds or discounts for Licensee absence, including bank holidays. Where more than 24 hours’ notice is given, paid bookings will be refunded via Stripe to the original payment method. Requests made within 24 hours are non-refundable unless the Licensor agrees otherwise at their sole discretion.

Termination & variations. The Licensee may not assign room time to external practitioners without the Licensor’s written consent. The Licensor may terminate this Agreement immediately for non‑payment, breach, insolvency or termination of the Licensor’s lease. The licence fee may be amended on three months’ written notice. The Licensor may change equipment, decoration, furniture and fittings as needed, and may terminate without notice for behaviour that is inappropriate, unethical, unlawful or endangering others.

Disputes. Disputes shall be resolved amicably where possible; if unresolved, the parties agree to consider mediation before legal action. This Agreement is governed by and construed in accordance with the laws of Scotland, and any disputes shall be subject to the exclusive jurisdiction of the Scottish courts.
